FreeTalkSoft Messenger Privacy Policy

Information processed

We process WordPress account information, guest display names and session identifiers, room memberships, friendship requests, presence, messages, timestamps, read status and shared attachments to operate the messenger. Login and guest sessions use cookies; language preferences may be stored in your browser. Hosting and security services may process technical access logs.

Message visibility and storage

Messages are stored in the WordPress database. Room participants can view messages and files according to room access and history settings. Chatbot rooms separate each visitor conversation; the room host can access those conversations. Closing a room removes participant access but does not automatically erase its database records or backups. There is currently no automatic message retention expiry. Contact the administrator to request deletion; database records and Drive backups must be handled separately.

Room security and optional attendance

Connection IP addresses are recorded with room membership to support room security. A host or site administrator can remove a participant and block their identity and recorded IPv4 /24 or IPv6 /64 network from that room. People sharing the same network may also be affected; authorized hosts and administrators can remove blocks. Guests are restricted to their invited room. If the administrator enables attendance, member clock-in and clock-out times and connection IP addresses are stored separately; members can view their own attendance and site administrators can view all attendance. Attendance records currently have no automatic retention expiry. Contact the administrator about deletion requests.

Google Drive integration

Only the administrator authorizes Google Drive. The app uses the drive.file permission to create and manage its messenger backup records and uploaded files in the connected administrator account. It does not request access to all existing Drive files. Messages may be backed up as JSON and attachments stored in the FreeTalk Messenger folder. Files are retrieved through messenger access checks rather than intentionally shared using public Drive links. OAuth credentials and tokens are stored encrypted on the server. The administrator can revoke access in Google Account connections. Revoking access stops future Drive operations but does not delete existing backups.

Optional AI processing

When automatic translation is enabled, eligible incoming message text is sent to OpenAI for translation into the viewer language. When chatbot replies are enabled, relevant conversation context and administrator-provided reference information are sent to OpenAI. These API requests use store=false. This setting does not replace OpenAI API data-handling policies. Attachments are not sent by these text translation and chatbot features. Translation can be switched off; chatbot processing depends on the room and site configuration.

Service providers and control

Data is processed by the site hosting service, Google for enabled Drive storage, and OpenAI for enabled AI requests. Their processing locations and terms may differ from your location. Do not submit sensitive information that is unnecessary for the conversation. Contact the administrator to request access, correction, or deletion and to identify the relevant account, room, and messages. Authentication may be required before acting on a request.
